Why application files get rejected — and how to fix each reason
Most rejections are not about you or your application. They are about the file: a number that is slightly wrong. Here are the seven reasons files get rejected most often, and the fix for each one.
The first and most common reason is file size. A portal may accept photos up to 50 KB and reject anything over it — even 51 KB. The fix is simple: compress the image to a target safely inside the limit, such as 40 KB, and check the real size of the downloaded file before you upload it. Never trust the size shown by a chat app or a photo viewer, because they often show a different number from the actual file.
The second reason is the wrong format. A portal that asks for JPG will reject a PNG, even if the picture looks identical. The reason is technical: the portal's system reads the format from inside the file, not from the file name, so renaming a file from .png to .jpg does nothing. The fix is to convert the file properly — open it in the resizer or compressor and download it as JPG.
The third reason is wrong dimensions. A photo that should be 200 by 230 pixels will be rejected if it is 200 by 200, or 300 by 230. Even a few pixels matter, because the portal checks the exact numbers. The fix is to resize to the exact width and height the portal gives you, and then confirm the numbers with the File Checker instead of guessing.
The fourth reason is a blurry or unreadable image. This usually happens when a small photo was enlarged, or when a photo was compressed far too hard. A portal may accept the file technically but a human reviewer rejects it because the face or the text cannot be read. The fix is to start from the sharpest original you have, and to compress gently — a slightly larger file that is readable is better than a tiny file that is not.
The fifth reason is the wrong background or a signature that is too small. A photo with a busy background, sunglasses, or a cap is often rejected, and a signature resized from a whole page becomes a tiny unreadable line. The fix is to take the photo against a plain light wall, and to crop tightly around a signature before resizing it, so the signature fills the frame.
The sixth reason is too many pages, or the wrong document entirely. A PDF with 12 pages will be rejected if the limit is 5, and a merged PDF that accidentally includes a blank page counts as an extra page. The fix is to count the pages with the PDF Checker, remove blank or duplicate pages, and check the merged file again before uploading.
The seventh reason is uploading a screenshot instead of the real file. Screenshots are usually PNG, the wrong size, and lower quality than the original. If the portal asked for a photo, upload the photo itself, not a picture of the photo on your screen. If you are not sure what the portal wants, read its instructions again — and if the rules are shown in a screenshot, use the Screenshot Reader to pull the numbers out and check your file against them.
If your file is rejected and the portal gives no reason, do not keep uploading the same file and hoping. Measure it: check its format, its KB size, its dimensions, and its page count, one by one. One of those numbers is almost always the answer, and once you know which one, the fix usually takes less than a minute.
Do it in 3 steps
- Measure the file — Upload it to the File Checker and see the real format, size and dimensions — PASS or FAIL for each rule.
- Fix the failing rule — Too large? Compress it. Wrong size? Resize it. Wrong format? Convert it. Too many pages? Remove them.
- Check again, then upload — Run the fixed file through the checker once more. Upload only when every rule shows PASS.
Common mistakes to avoid
- Do not re-upload the same file hoping it will pass — it will fail the same way every time.
- Do not rename a file to change its format — convert it properly instead.
- Do not trust sizes shown by chat apps — check the downloaded file itself.
- Do not skip the final check — a one-minute check saves a rejected application.
Frequently asked questions
My file was rejected but no reason was given. What do I do?
Measure it with the File Checker against the rules on the portal. The failing rule is usually the reason, even when the portal does not say so.
Can a file be the right size but still get rejected?
Yes — if it is blurry, has the wrong background, or is a screenshot. The numbers can be right while the picture itself is not acceptable.
Should I compress my file as small as possible?
No. Go safely inside the limit, not as small as possible. A 40 KB file inside a 20–50 KB range is better than a 10 KB file that is too blurry to read.
Does SubmitSure guarantee my application will be accepted?
No. It checks your file against the rules you enter, but the portal's own rules and reviewers have the final say. Always confirm the rules on the official portal.
